Toward the future: how AI can facilitate enterprise document management
The project arose from the need to simplify and automate the management of corporate invoices, an activity that is often repetitive and prone to human error. The main objective was to develop an intelligent system capable of storing, organizing and making easily accessible all invoices received by the company, improving operational efficiency and reducing search and consultation time.
The integration of these tools has brought many benefits:
Process automation
Reduction of manual labor and risk of error.
Immediate accessibility
All invoices are available in a few clicks or through a simple request to Copilot.
Efficient organization
Documents are stored in a structured and easily searchable manner.
Data Security
With SharePoint, information is protected and accessible only by those who have the right to it.
Technologies used
Power Automate
Used to create an automated flow that intercepts emails containing attached invoices and transfers them directly to a digital repository. This process eliminates the need for manual intervention, ensuring speed and accuracy in moving documents.
SharePoint
Used as a centralized storage platform. A dedicated site has been created where all invoices are saved in an orderly manner, with the ability to organize them by date, vendor, amount or other relevant criteria. SharePoint also offers security and access control features.
Copilot
Integrated into the SharePoint site, Copilot enables interaction with the repository via natural language. Simply ask a question, and you get an immediate and accurate answer. This dramatically reduces the time it takes to find specific information.
The ultimate goal is to streamline workflow, improve collaboration with suppliers and ensure smoother and more professional management of business activities.
